Instructions for the presentation of the paper on the audiovisual content platform

After the good reception given by SAAEI 2020 participants to the audiovisual content platform, the SAAEI 2021 Organizing Committee has decided to maintain this platform where authors can present the work developed in their publications by disseminating it in video or poster format:

Oral presentation:

The authors with published papers in the SAAEI 2021 edition that will be defended in oral presentation format, must recording a video of their expositions. The video should include the voice of the author explaining the content of the paper by means of the same slides that will be used in the presentation during the days of the conference. The goal is authors can explain the contributions of their papers and share the contents with the rest of attendees.

In order to upload the video, the following requirements should be fulfilled:

    • Maximum duration of 15 minutes.
    • Maximum file size of 200 MB.
    • Aspect ratio of 16:9 with minimum resolution of 720p (1280×720 pixels).
    • The sound of the video has appropriate volume and can be understood.
    • The format of the video file should be .mp4.
    • The first slide with the title of the paper, all authors, and their affiliations.

We recommend that you structure the procedure of the video preparation in accordance with the following steps:

1. Record your presentation:

We recommend that you use the same slides or poster that you will use in the presentation during the conference days and record an overlay voice explaining the content of the paper. In order to obtain a good quality video several features can be taken into account:

Presentation recording software

Many different widely available tools exist to record your screencast. For example:

      • Zoom (Windows, Mac, Linux): Start a meeting where you are the only participant. Share the desired window that contains the presentation. On the additional options button, click on Record. When you end the meeting, the video will be exported on a new folder that contains the recorded screen in an .mp4 format.
      • OBS Studio (Windows, Mac, Linux): Start a new scene with a Window Capture source. You can also include your webcam in a corner including another source Video Capture. You can now click the butting Start recording to start your screencast.
      • MS Powerpoint (Windows, Mac): In the main menu, clicking on Slide Show > Record Slide Show will start the presentation mode and will include your voice as audio after finishing the presentation. You can then export the presentation as an .mp4 video.

Microphone

A good sound quality is very important to achieve a high-quality video. The use of an external microphone is recommended, as it usually provides a better quality than the integrated microphone of a laptop. Make sure that you record the video in a quiet room. Short tests recording the voice and playing this record are suggested in order to ensure a proper volume and quality of the audio.

Including speaker video in the presentation

In order to improve the quality of the presentation, a small window with a video of the author can be included.

In this case, the video should not cover any important part of the slides. The video results are also better if the camera is placed at the same height as eyes of the speaker. To have a clear image of the speaker, the face should be well illuminated. Most of the software platforms described in this section offer the option to include a video of the speaker.

2. Check the requirements:

You will not be able to submit the video if the requirements are not satisfied. In case your software allows for choosing of different codecs when selecting .mp4 as desired format, select H.264 for the video and AAC for the audio. If your video file has a size larger than the maximum of 200 MB, try using a plain white background for your slides, without animations.

3. Upload your video:

Videos should be uploaded using WeTransfer platform in accordance with the following instructions:

      • Attach the video in .mp4 format. The name file should be the id of the corresponding paper.
      • Indicate the following email address to upload the. mp4 file: videos@saaeivideos.org.
      • The content of the message should contain both the title of the paper and the id paper.

Video submission deadline: June 28th, 2021.

Poster presentation:

The authors with published papers in the SAAEI 2021 edition that will be defended in poster format must send their poster in A0 size, with vertical orientation and in .pdf format. The format and design of the poster is free, but it must show clearly the title, authors and their affiliations.

Posters should be uploaded using WeTransfer platform in accordance with the following instructions:

    • Attach the poster in .pdf format. The name file should be the id of the corresponding paper.
    • Indicate the following email address to upload the. pdf file: videos@saaeivideos.org.
    • The content of the message should contain both the title of the paper and the id paper.

Poster submission deadline: June 28th, 2021.

Instructions for the presentation of the paper in the scientific programme of the conference

All conference activities, including the paper defence sessions, will take place online through the zoom platform. 

Oral presentation:

Oral presentations will last a maximum of 15 minutes and will be followed by a 3 minutes question/answer session. The presentations will take place in parallel zoom rooms, organized by thematic areas. We recommend that the presentation format is PowerPoint or PDF.

All speakers will have to connect to the corresponding session 10 minutes before the beginning of the session to check that their presentations are running correctly.

Poster presentation:

Poster presentations will be presented in one or two sessions, where each author will have 5 minutes to make a brief presentation of their work and then there will be a turn of 3 minutes for questions/answers.

As in the oral format, the speakers will have to connect to the corresponding session 10 minutes before the beginning of the session to check that their presentations are running correctly.
